Chainbridge Solutions Inc. is seeking a qualified and professional Executive Assistant (EA) to join our dynamic and growing team in Fairfax, Virginia. This role directly supports the CEO and her leadership team to facilitate a productive, team-oriented and positive culture. The EA will provide effective operational support within our company headquarters that positively impacts the work environment for all employees regardless of their location. The EA will also work closely with the CEO to perform a variety of administrative support activities to include supporting finance, timekeeping, purchasing and general office management. The successful candidate will become a trusted team member who provides executive support to include, but not limited to managing schedules, distributing approved communications, and coordinating tasks with other members of the organization.

Principal Duties and Responsibilities:

  • Uses Microsoft Office software to compile and generate reports, statistics, timelines, tables, graphs, correspondences, and presentations
  • Sets up and maintains office space for new employees
  • Manages incoming calls and makes proper referrals
  • Arranges meetings and conferences to include ordering food and preparing for gatherings
  • Partners with Human Resources and Information Technology to coordinate delivery of equipment
  • Manages the supply of standard office supplies and consumables
  • Supports routine administrative tasks in our timekeeping and accounting system
  • Receives and processes expense sheets (reports)
  • Reviews, drafts, and finishes (completes) documents for appropriate grammatical usage
  • Answers questions relating to office operations and established policies and procedures
  • Makes occasional travel arrangements for employees
  • Manages any office service tickets and coordinates entry of vendors into our suite
  • Participates in event planning and event organization

Requirements:

  • High School Diploma or equivalent
  • Availability to commute to and work from our Fairfax, VA office – hybrid work available on Fridays
  • 5 years of relevant experience supporting executives and/or office operations
  • Strong skills with Microsoft Office software, especially Word, Excel, and PowerPoint
  • Excellent organizational and time management skills
  • Willingness to collaborate across teams to gather information and deliver results
  • Strong verbal and written communication skills
  • Ability to pass a background check
  • Fully vaccinated against Covid-19

Physical Requirements:

  • Spends at least 50% of time in a stationary position looking at a computer monitor and using hands to type correspondence and use computer software
  • Listens to and regularly communicates verbally with staff and visitors
  • Frequently walks around the office to access file cabinets, label items in the office and greet visitors
  • Regularly required to lift and transport light office supplies and food deliveries up to 20 lbs.
